This Privacy Policy describes how Kixlogic, LLC ("Kixlogic," "we," "us," or "our") collects, uses, and shares information about you when you use our applicant tracking system and related services (the "Service").
Kixlogic serves two types of people: Customers (businesses that subscribe to use Kixlogic) and Applicants (individuals who submit employment applications through a Kixlogic-powered careers page). This policy addresses both.
1. Information We Collect
From Customers
When you create and manage a Kixlogic account, we collect account information, billing details (processed by Stripe — we do not store full card numbers), company settings, usage data, and support communications.
From Applicants
When an individual submits a job application through a Kixlogic-powered careers page, we collect on behalf of the hiring company: name, contact information, employment history, resume documents, work eligibility, and voluntarily submitted EEO data.
Automatically Collected
- IP address and general geographic location
- Browser type and version
- Pages visited and features used
- Date and time of access
2. How We Use Information
Customer information is used to provide and improve the Service, process payments, send transactional emails, provide support, and comply with legal obligations.
Applicant information is stored and displayed to the hiring company's authorized recruiters, used to power AI features on eligible plans, and used to send application confirmation emails.
EEO data is collected separately, compartmentalized, and accessible only to Admin-level users for compliance reporting. It is never included in exports or AI scoring.
3. How We Share Information
We do not sell your personal information. We share information only as described below:

4. Data Retention
- Customer account data: Duration of subscription plus 90 days after termination
- Applicant data: While the hiring company's account is active plus 90 days after termination
- Billing records: 7 years per tax and accounting requirements
- Support communications: 2 years

5. Data Security
- TLS 1.2+ encryption for data in transit
- Encrypted database connections with encryption at rest
- Infrastructure hosted on Cloudflare and Supabase (U.S.)
- Role-based access controls and audit logging
- Server-side validated session tokens
6. Your Rights
Customers can view and update account information in dashboard settings, manage billing through Stripe, and request deletion by contacting support.
Applicants should contact the hiring company directly for access, correction, or deletion requests. We will assist in directing requests to the appropriate party.
7. Cookies and Tracking
We use minimal browser storage for authenticated sessions and interface preferences. We do not use cross-site tracking, behavioral profiling, or third-party advertising trackers on kixlogic.com.
8. Children's Privacy
The Service is not directed at individuals under 18. We do not knowingly collect information from minors.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or website notice at least 30 days before taking effect.
